Within Asset Bank the default behaviour is that unapproved assets are not visible to users without administrator access until they have been approved and submitted to 'live'. In some cases, it can be useful to allow certain non-admin users to view assets whilst they are going through the approval process.
In order to achieve this, Asset Bank supports "advanced viewing" - which means allowing a certain Group of users to view assets in advance of their full approval. There are two areas where this needs to be configured:
- In the Admin > Groups section you can control which Groups have access to "Advanced viewing of unapproved assets" by editing the group.
- During the upload process the uploader will need to tick the checkbox labelled "Advanced viewing when unapproved" in order for this asset to be visible to the relevant Groups (as defined in '1' above).
It is worth noting that these assets are still affected by permissions - you will only be able to have the 'advanced view' of assets which are in the process of being approved to a folder that you have access to see.
If you host Asset Bank yourself then you can enable Advanced Viewing by amending the following setting to true in ApplicationSettings.properties
advanced-viewing-enabled=true
Contact our support team if you are hosted on the Asset Bank cloud.
Regardless of the folder permissions that a user may have, the Advanced Viewing functionality will only grant 'view' access to unapproved assets, not edit or download.
