This article will explain how to archive and then delete the results of a report
- Add a text field attribute by browsing to Admin > Attributes > Add a new attribute called 'Delete' (use the default settings)
- Add this attribute to your advanced search form by browsing to Admin > Attributes > Display attributes > Searching tab and then use the dropdown to add the 'Delete' attribute that you created in the previous step
- Go to Admin > Reports > Asset Reports > Run the report that you wish to use (for this example we will use 'least popular items by view') and adjust the max number of results as necessary (if applicable)
- Select the Export the asset files option - this will allow you to archive the assets somewhere so they are still in your possession after being deleted from the Asset Bank
- Select export as native Excel 2007 format to export an .xlsx file to use in your spreadsheet software.
- Run the export. Open the exported .xls file
- In the 'Delete' column, enter 'yes' in all the rows that you wish to delete. Once you have finished going through the spreadsheet delete the rows that do not have 'yes' in them.
- Then delete all the columns except for the 'file', 'assetId' and the 'delete' column. (This will avoid overwriting assets that have been updated). Do not delete anything on row 1.
- Save the spreadsheet (make sure it is saved as a tab delimited, UTF-8 file).
- Go to Admin > Attributes > Metadata Import > Start new metadata import. Select the file you have been working on which you should have saved as a tab delimited, UTF-8 file as per the previous step, and ensuring the first line contains a string defining the format of the AssetId column, for example the string: filenameFormat:none Ensure that the 'Skip Check' option is unchecked then click on 'Submit'.
- The check should be successful and tell you how many assets will be updated. Now click on 'Start update'.
- Once the update action has completed you can then browse to Update all items > Bulk Update Find the 'Delete' attribute and then enter 'yes' in the text field and search for this criteria only (i.e. ensure that all other attribute values in the advanced search form are blank)
- The results that are returned in the batch should all be the ones that have been marked for deletion, if necessary you can check by using the 'View and Select items in batch for update' link. When happy with what you are removing, use the 'Delete the selected items in this batch' link.
