Folders (also known as 'access levels' in some configurations) are the primary way of storing your assets within Asset Bank. Most systems will use Folders as the single way of storing files and managing user permissions, but there is also the option of splitting these into 'categories' and 'access levels'.
When you create a user group, you then decide which folders users in this group can see, which they can download from, which they can upload too, etc. For more detailed information on group permissions, click here.
Admin users can manage the folder structure via the admin menu:
You can change the order in which the folders appear in this list by hovering your mouse over the name of the folder, then dragging and dropping it into its new position.
This initial page gives you an overview of the different folders in the system and allows you to move, edit, and delete these folders.
Using the "open" link you can enter a folder in order to see and create sub-folders. Use the "edit" button to customise the appearance and behaviour of that folder or sub-folder.
When editing a folder there are a range of options available to you:
Name
This is the name of the folder that will be displayed whilst browsing, etc.
Description
The description of a folder will be displayed at the top of the page when you are browsing that folder or sub-folder.
Image
Folders can be assigned images that will appear both on the homepage and whilst browsing - this is also possible for sub-folders. In order to select an image, you will need to upload a file stored locally on your computer rather than selecting an asset within the system.
Selected on load?
When this option is selected, the folder will automatically be selected when someone uploads an asset into Asset Bank.
Is browsable?
This option (which is selected by default when a new folder is added) dictates whether a folder can be browsed from the Browse menu / displays on the homepage.
Promote items?
The two options here ("promoted items" and "recent items") allow you to highlight relevant files whilst browsing that folder or sub-folder.
View type override
This is a legacy option in the latest versions of Asset Bank. Previously this option allowed you to choose from different display options for Browse pages, but these have now been collated into a single view.
Always Assignable?
If this option is selected the folder can be assigned to assets even if the folder has sub-folders.
If you are editing a sub-folder that is not at the top-level (i.e. it was added as 'child' of an existing folder) there will be an additional option:
Permissions (this folder has its own permissions)
By default just top level folders have permissions. You then create groups and decide if they can interact with that particular folder structure, including subfolders.
However, often clients want additional granularity, allowing them to say for example, that a group can see this subfolder, but not this other one. To make this configurable in the Groups area, you first have to say which folders have their own permissions here.
If the option is not selected (the default), the folder will have the same group permissions as its 'parent' folder.
