Folders are similar to categories, and can be used to categorise assets. There is an important difference between categories and folders: you can set permissions for user groups on folders. This enables you to restrict assets, so that they are visible to some users but not others, and to specify the upload permissions that users have, e.g. to allow some users to upload assets while others can only download.
Folders work in conjunction with groups - each group has a certain permission level for each of the folders. For more detailed information on group permissions, click here .
Admin users can maintain and edit folders through the admin menu:
You can change the order in which the folders appear in this list by hovering your mouse over the name of the folder, then dragging and dropping it into it's new position. This initial page gives you an overview of the different folders in the system and allows you to move, edit, and delete these folders. Using the "open" button you can enter a folder in order to see and create sub-folders. Use the "edit" button to customise the appearance and behaviour of that folder or sub-folder.
When editing a folder there are a range of options available to you:
This is the name of the folder that will be displayed whilst browsing, etc.
The description of a folder will be displayed at the top of the page when you are browsing that folder or sub-folder.
Folders can be assigned images that will appear both on the homepage and whilst browsing - this is also possible for sub-folders. In order to select an image you will need to upload a file stored locally on your computer rather than selecting an asset within the system.
Selected on load?
When this option is selected, the folder will automatically be selected when someone uploads an asset into Asset Bank.
This option (which is selected by default when a new folder is added) dictates whether a folder can be browsed from the Browse menu.
The two options here ("promoted items" and "recent items") allow you to display highlight relevant files whilst browsing that folder or sub-folder.
View type override
This is a legacy option in the latest versions of Asset Bank. Previously this option allowed you to choose from different display options for Browse pages, but these have now been collated into a single view.
If this option is selected the folder can be assigned to assets even if the folder has sub-folders. By default it is not selected, meaning that a folder can only be selected for an asset when it has no children.
If you are editing a sub-folder is not at the top-level (i.e. it was added as 'child' of an existing folder) there will be an additional option:
Has Own Permissions
This option dictates whether a folder can have its own set of permissions for each user group (set via the menu option Admin->Groups->Folder Permissions). If the option is not selected, the folder will have the same group permissions as its 'parent' folder. This will also mean that, if the folder has sub-folders (children), these cannot have their own permissions.
