Let’s get you onboarded! To do that, we need to configure your Asset Bank to meet your users’ needs. The process can take anywhere from two to eight weeks – or more, depending on how complex the configuration needs to be and how fast you can progress. Unless otherwise agreed, you will have 6 months to 'use' your consultancy hours.
Here’s an outline of what you can expect:
- Installation
Nice and easy – nothing for you to do here. Our infrastructure team works on this behind the scenes, using our hosted servers around the globe, meaning you can log on and get started in no time.
- Consultancy
To ensure you get the most value from Asset Bank as quickly as possible, we need to understand exactly what your users need, so we can make sure our platform works best for you. Who are your key users? What assets are they likely to use most/need most access to?
In our Discovery Call, we’ll work with you to discuss sensible folder structures, permissions for different users, keywords and metadata that need to accompany your assets, as well as any configuration tweaks we can make to ensure a seamless user experience. - Branding to Match Your Business
Now it’s time to make our software look and feel like you. We’ll add your logo and watermark, as well as your colours and fonts, so every user experience feels familiar and on-brand. Here is an overview of the customisation options.
- Asset Migration: You’ll Gather Your Assets in One Place
This is the point at which you’ll need to gather all your content, and add it to a holding platform – usually an Amazon S3 bucket, which we’ll set up for you.
You can create a folder structure within this platform, but please don’t zip or compress any files as we won’t be able to extract them.
Top tip: Your existing DAM provider (if you have one) may be able to export assets directly to S3, so you don’t have to!

- Asset Migration Part 2: We’ll Add Your Files to Asset Bank
By this point, all your files should be in the S3 bucket, and our Discovery Call will have given us a clear direction on how best to structure your Asset Bank. So, here’s where everything gets moved across.
This should take us around five working days, but timings will vary depending on the overall size, the number of assets, and the consistency and quality of your data.
- Training
The next stage of the onboarding process is to get you trained up! We’ll arrange 2 to 3 online training sessions for you and your team, so you can really get to grips with your Asset Bank.
These sessions accommodate up to 10 people, which is normally the administration team plus any relevant 'super users' and we’re happy to record the session.
Session 1 walks through some of the more basic functionality of the system so everyone has a good baseline understanding of what Asset Bank can do. This is crucial as it is often the first time people have seen the software.
Session 2 is focused more on the administrative options available, including tips for configuring your system.
After these two sessions, you’ll be able to access ongoing support from our help centre, our in-app AI agent, and our wonderful support team!
We can arrange a third session to tackle areas that are specific to your needs once you are more comfortable using Asset Bank.

- Launch!
Time for any final tweaks to the user interface, and then it’s time to roll out to your teams!
From here, you can easily add more users to the system and invite them to get started!
