Asset Bank has a number of options available for including terms and conditions checkboxes on your site. These include a link to a content page, containing your terms and conditions, that opens in a new window. The checkbox is mandatory but these are not security features. They provide simple client-side validation only.
Below are the options available. Customers who host Asset Bank themselves can configure these settings in the ApplicationSettings.properties file. If your Asset Bank is hosted with us please contact Customer Support.
Terms and Conditions on Download
When enabled, users must tick the checkbox on every time an asset or a group of assets are downloaded. The checkbox only shows after a usage type is selected by the user. The accompanying setting is:
mustReadTsCsBeforeDownload
Admin users can be made exempt from download terms and conditions with the following setting:
adminUsersExemptFromDownloadTsCs
If a single set of Terms and Conditions is not sufficient, you can read about Agreements here.
Terms and Conditions on Upload
Visible on the Uploads page, users must accept the terms and conditions before the first stage of the upload process. If files have been uploaded via FTP, the user will still need to accept these terms and conditions before the files are ingested. The accompanying setting is:
mustReadTsCsBeforeUpload
Terms and Conditions on Published Lightboxes
You can include a terms and conditions checkbox on published lightbox. Anyone that has access to the lightbox will need to accept the terms and conditions before they can download any asset from the lightbox. This is globally enforced and there is no way to circumvent them at the time of publishing. The accompanying setting is:
show-terms-and-conditions-checkbox-on-published-assetbox
Terms and Conditions on Register
If your site allows for new users to register for a user account, with or without approval, then a terms and conditions checkbox can be included on the register page. The accompanying setting is:
showConditionsOnRegister
Terms and Conditions on Login
All local users will need to accept the terms and conditions each time they log in. This setting does not apply to remote (SSO) users who will often omit the local login page. The accompanying setting is:
showConditionsOnLogin
Updating the Terms and Conditions
In order to update the content of your Terms and Conditions, you access them via Admin > Content > Page Copy and editing the 'Terms and Conditions' content item.
Controlling system privacy
Using these terms and conditions options (especially for registration/login) it is possible to advise your users on any privacy policy information that is relevant to them, as well as ensuring they are happy to proceed prior to them using the system.
